Working with Action Lists

Action Lists allow you to view and sort groupings of Pending and Completed Actions. For example, you might want to view all the Pending Actions during a particular period of time, or perhaps view all Completed Actions for a particular Client. Once you have a list of Actions, there are a number of ways to adjust the parameters of the list to see the particular group that youre interested in.

Opening Action Lists

There are several different places you can open Action Lists. From the main screen, Office menu, you can look at Pending Actions and Completed Actions for all Persons in the system. From any Contact's form (Client, Caregiver, Customer, Referrer, etc), you can look at Pending Actions and Completed Actions for that particular person. The figure above shows a list of Completed Actions for one week.

From the Office Menu

On the main screen, from the Office menu, there are two options: Pending Actions and Completed Actions. These include Actions for all Persons in the system. The Pending Actions list comes up with a default date range on or before a week from today. This will include all Pending Actions in the past, up until a week from now. The Completed Actions list comes up with a default date range on or after a week ago today. This includes all Actions that are marked Complete and have a date of one week ago or later, including into the future. (Yes, you can put in a Completed Action in the future).

From any Person's Form

Every Person's form has buttons to open their Pending Actions and Completed Actions, just to the right of the Comment field. This figure shows both the Office Menu and the Client Form buttons for opening Action Lists. The Customer, Caregiver, Referrer and Person Actions work exactly the same as Client Actions.

If you want to keep an Action on the screen without keeping the Actions List open, you can just double-click on the Action in the list, and it will open in a separate window.

Filtering and Sorting Action Lists

Action Lists may be filtered and sorted in a wide variety of ways, in order to allow you to focus on the set of Actions youre really interested in. You may filter an Action list using most of the fields on the Action itself: Status (Complete or Pending, or both), Type and Date (or range of dates). A notable exception is the Who field: an Action list is always for either one particular Client or for all Clients.

Status (of the Actions)

When you first open an Action list, it is either for Pending Actions or Completed Actions. You may notice that, when you are looking at Pending Actions and you mark one Complete, it disappears from the list! That is because it no longer fits into the filtering of this list. You can change it to show Completed Actions, and youll once again see the one you just marked Complete. You may find it handy to look at both Completed and Pending Actions, which is the third option in the status drop-down list.

Status of the "Who"

You can filter the Action List based on the current status of the subject of the Action. For example, you may want to look only at those expiring Credentials of Active Caregivers, ignoring those from Caregivers who have quit or been fired. Note that some filter combinations may not yield any results because they don't make sense. For example, Clients can't have a status of Quit, so none would show in the list if you had the filters set that way.

Caregivers, Clients,  Customers, Other Persons or All

You can set the Action List to look at only those Actions for Caregivers, Clients, Customers, Referrers, Responsible Parties or Other Persons, or for all Actions. Note that the role of an individual (as Client, Caregiver, etc.) is included in the list, right next to the person’s name.

Type

When you first open an Action list, it displays Actions of all Types, including Action, Contact, Home Visit, etc. You can narrow it down to only one of these types if you wish. You may also select specific ones (for example, Home Visits and Contacts).

Date

The system lets you look at Actions on a single date, in a particular week or within any date range you want. The drop down list includes a number of common choices. For a particular day, you can choose Today, Tomorrow, Yesterday or any other individual day (using a calendar date picker). For a particular week, you can choose This Week, Last Week, Next Week or another Week (using a week picker). For a range of dates, you can choose On or Before (a particular date), On or After (a particular date), or a range of dates, in which you set both the earliest and the latest dates.

Sorting

Action lists may be sorted by each of the columns in the list: C, Type, Date, Time and Who. Initially, Action lists are sorted with the most recent ones at the top. The C column indicates whether the Action has been completed or not. This is most useful when viewing a list that combines Pending and Completed Actions. Completed Actions show a checkmark in the C column (see the figure above).

Clicking on one of the column headings sorts by that column, in descending order. For example, if you click on Date, the list will be sorted by date, with the most recent ones at the top. Click again and the list reverses, with the oldest ones at the top. You can see at a glance what the sorting is by the little arrow on the column heading.

Printing Action Lists

You can print or preview any list of Actions by clicking on the File menu and making your selection from the list. It's often a good choice to use the Preview option, as it lets you see what you are about to print. You can even make formatting changes or other edits before printing. Or you may simply want to see it in that format without printing it.

 

The resulting report will include exactly the list of Actions that you have on screen, including any filters or sorts that you have applied. It prints in a table format, with two rows for each Action. The top row contains the summary details (Status, Type, Date, etc.). The Comment field, which may contain as much text as you want, will span the width of the page in its own row.
