Verifying Shifts

After a week has been scheduled, the Shifts have been completed, and Caregivers have turned in their Time Cards, it is time to Verify the Shifts. If there are any discrepancies between what was scheduled and what actually happened, you can adjust the times of the Shift, then change it to Verified Complete. This process ensures that Caregivers are paid and Clients are billed accurately.

The best place to start managing the process of verifying Shifts is the Unverified Shifts Report, which you can reach from the Reports menu.

You can verify a Shift either directly on the Planner or in the Shift Form.

On the Shift Form, just change the status to Verified Complete and click Apply.

On the Planner, you have a few options:

1) You can simply right-click on the Shift  and choose Verify Shift completed. To verify several at a time, right-drag, release and mark them Verified Complete.

2) Alternatively, you can left-select the Shift(s) and press the letter V on the keyboard. If Assigned Shifts are selected, this will verify them.

If you are using the Telephony component, most Shifts will be automatically verified. You can explore this option by reading the Telephony section.

You cannot adjust the times of a Verified Complete Shift. If you find that you need to do so, you can change the Status back to Assigned, adjust the times, then change the Status back to Verified Complete.

Note that it is not a requirement of the Scheduling System that you verify Shifts. Shifts that are Assigned but not Verified will still be counted in reports, such as the Caregiver Planners and Monthly Hours reports. The main exception to this is in exporting Shifts to QuickBooks: only Verified Complete Shifts will be exported. Obviously,  the Unverified Shifts Report is not much use if you are not verifying Shifts.
