"Telephony" refers to the use of telephone calls by Caregivers to login and logout of Shifts. Rather than turning in paper time cards, Caregivers place a call at the beginning of each Shift (from the Client's telephone) and again at the end of the Shift. These calls are recorded by your telephony service provider to give you a real-time view of what's happening in the field. Rather than waiting until your Caregivers get around to turning in their time cards, you can see whether they've logged into or out of a Shift immediately, either through your telephony provider's reports or through Rosemark's telephony interface. By interfacing directly with your telephony service, Rosemark can automatically verify scheduled Shifts, warn you about No-Shows, as well as populate the Client and Caregiver information that your telephony provider needs, eliminating double-entry. With telephony enabled, Rosemark will check every five minutes to see if new logins and logouts have come in.
If the Caregiver logs in and logs out within the parameters you have set, the corresponding Shifts will be automatically marked as Verified Complete.
With telephony, the system will alert you to No Shows, when a scheduled Shift is underway but no login has happened. These warnings pop up on screen and can also go to any e-mail address or cell phone as a text message. See the No Show Warnings section.
In addition to the login and logout times, you can have your Caregivers record mileage information, too. The mileage will then be automatically added to the corresponding Shift. Mileage can be entered by the Caregiver in one of two ways: 1) total miles 2) odometer readings. To enter mileage using odometer readings, they should enter it with a "*" between the opening reading and the closing reading, e.g. "89406*89416". Rosemark will automatically calculate the total number of miles and place that number in the Mileage field on the Shift form. The bill and pay rates for mileage will then be applied, and the results will be included on Invoices and in the Payroll Report.
