Printing a Shift

You can preview or print any individual Shift from the Shift form or from the Shift List. Click on File, then either Preview in Word or Print. This gives you a simple printout with the details of the Shift Form, including as much Comment text as you have entered. This is handy for documenting specific situations, like Client or Caregiver cancellations.

 

Exporting Shifts to Spreadsheet

At times, you may want to export a group of Shifts to a spreadsheet file for analysis, printing or other purposes. You can do this with any Shift List. First, apply any sorting and filtering to get the list of Shifts that you want. For example, for payroll or billing purposes, you may want a list of all the Shifts with a Verified Complete status during the pay period.

Once you have the Shift List that you want, click on File, then Export shifts to spreadsheet.

The buttons give you access for selecting any and all fields on the Shifts, as well as fields on others related to any of the Shifts, including Clients, Caregivers and Customers. This is useful because not all of the information related to a Shift is actually on the Shift itself.

For example, if you wanted to come up with a report of hours worked or money earned by the city where it was worked, you would need to include the Client's city in the export.

Once you have made your selections, you will be prompted for the name and location of the file. You can accept the default name (Shifts.cvs) or change it. Be sure that you understand the location where you are saving it (the Save In field), so you can find it when you want to work with the file. One approach is to simply change it to Desktop, where you can readily get to it.

On most computers, you can simply double-click on the file and it will open in Excel. Otherwise, start any program that can handle comma-delimited files and open it there.

Client hours by date

Export Client hours by date to spreadsheet gives you a very different kind of report. It includes all the details of each Client that has a Shift during the date range, then the total hours for each Client, broken down by date as well as overall total. This gives you a flexible way to report on Client hours for different types of Shifts. For example, if wanted to know the total hours that each Client canceled for a given period, you could filter a list of Shifts to show you just the CCS Shifts for the range.
