Person Finder

The Person Finder allows you to quickly get to any individual within the system. This is handy when you need to get right to the Person without having to go through lists to find them.

Besides finding a Person directly, the Person Finder is used when setting the Customer on a Payment Obligation or setting the Responsible Party or Referrer on a Client. That's because, in order to avoid duplicate entry, you always need to see if they already exist before adding them in from scratch. See the section below about setting Customers, Responsible Parties and Referrers.

Finding a Person

You can access the Person Finder in two ways:

1.Hold the Ctrl key down and press the letter F on your keyboard. Ctrl-F works from anywhere in the system.
2.From the main scheduling window, click on the File menu and select Find Contact.

As you begin typing, the system will match what you type anywhere in any persons name. Each letter you type will narrow the list down.

Once you have a list of people showing, you can use the keyboards Down Arrow key to move down the list to the desired person. Then hit Enter, and that persons form will be displayed. If you prefer, you can use the mouse to open the form, either by double-clicking on the persons name in the list or by clicking on the Open button at the bottom.

If you type enough to make it unique (so only one person is displayed in the list), you can just hit Enter and that persons form will be displayed. This progression can be seen in the following figures:

Using the Person Finder to Set Customer, Responsible Party or Referrer

When you are setting any of these items, you want to make sure the person doesn't already exist, so you aren't duplicating them in the database. Rosemark incorporates the Person Finder into this process to guard against that. Here we'll use the example of setting the Customer on a Payment Obligation, but the process is pretty much the same for setting the Responsible Party or Referrer. Adding a new Customer

When you go to add the Customer, it brings up a Person Finder. Start typing any part of their name then select them from the list. If the Person you want to be the Customer is not already in the system, they will not show up in the list. To add them, just finish typing their name, then hit the Enter key, or click on Add New Person. You'll notice that this button is disabled until you have started to type in the Matching box. This is to encourage you to look for the person first, in case they have already been entered. This could save you from double-entering a Person, which can cause all sorts of confusion.

When you add a new Customer in this way, name fields will be filled in already, based on what you put in the Matching box. Best practice is to go ahead and type the whole name and hit Enter to get a head start on filling them in. Rosemark will do its best to fill it in appropriately.

If you type only a single word (like "Smith"), that word will be put in the Last Name field. If you put in 2 words (like "Betty Smith"), the first will go in the First Name field, the second in the Last Name field. If you want to do Last Name, First Name, just enter them that way. Examples below illustrate how that works.
