You have a number of ways of setting the Pay Rates for your Caregivers. Like Bill Rates, they are handled at various levels, with overrides at lower levels. However, with Pay Rates, you can choose two different "top level" ways to set them: by Service Type or by Caregiver Default Rate. If you pay a Caregiver differently based on what Services they are working on, you'll want to use the Service Type differentiation. If a Caregiver usually gets the same rate regardless of the Service they are working, you can give them an overall default Pay Rate. The next level down is the Assignment. If the Caregiver is getting a different rate on a particular Client, you can override the rate on the Caregiver/Client Assignment form. In any case, you can always override the default Pay Rate on an individual Service Type or Shift. Here are links to the different ways you can affect the Pay Rates of a Caregiver:
Hierarchy Diagram Here's a picture that illustrates the flow of control of Pay Rates:
The default Pay Rate for each Service Type is set on the Pay/Bill Code list. Each Service Type has its own Pay/Bill Code, with (among other things) its own Pay Rate. This Pay Rate will be used for all Shifts with that Service Type, unless the rate is overridden at a lower level. On each individual Caregiver, you set which Service Types a Caregiver can be assigned to, as well as the Pay Rate for each Service Type. If there is a Default Pay Rate set for the Caregiver it will ignore ALL Pay Rates setup on Pay/Bill Codes. Instead of inheriting its default Pay Rate from the Service Type, each Shift will use that one Pay Rate, unless it is overridden at the Service Type or Shift level. You can set the Caregiver's Default Pay Rate either from the Service Types button on the Summary tab, or from the Payroll tab.
Figure 168: This Caregiver's Pay Rates are based on their own Default Pay Rate, with one explicit Pay Rate for LPN When a Caregiver gets a different rate when working for a specific Client, you can set the rate right on the Assignment form. You can get to the Assignment form either from the Caregiver's Summary tab (double-click on the Client's name) or from the Service form (double-click on the Caregiver's name).
Figure 169: This Caregiver's Pay Rate is different when working for this Client Regardless of where it gets the default setting, any Shift can have its own, explicit Pay Rate, set directly on the Shift's Hours tab. This allows you to pay a Caregiver a different rate for special occasions, giving you the flexibility of directly setting the rate to override any other considerations. To enter an explicit Pay Rate on the Shift, double click on it to open the Shift form, click on the Hours tab, and click on the down-arrow icon to the right of the Pay Rate field. Then you can dial in what the rate should be. You'll immediately see the totals update. You still need to click Apply to save the changes, or close the Shift and click Yes to save the changes. Rosemark lets you further control rates based on certain situations, like short shifts, weekend shifts, holidays, etc. To see how to use these "power tools" to streamline your operations, see the Pay/Bill Rules section.
