No Show Warnings

If a Caregiver is Assigned to a Shift and they have not logged in within the specified time, Rosemark will alert you to this fact. The main Rosemark screen will pop up and make a sound to get your attention. The window will have a red No  Shows button that it does not usually have, warning you that there are uncovered shifts.

Note that this capability is only present if you have Telephony enabled and are fetching logins and logouts.

Click on the red button to bring up the Current Shifts without Logins list.  This list contains any Shifts that are Assigned, are happening now and have no Login. It will not include shifts with logins which are late or up to 1 hour early. That way, you aren't warned about Caregivers who have logged in, but are outside of the automatic linking parameters.

You can also get to this list at any time by clicking on the Office menu, Current Shifts without Logins option.

Live In and other Contiguous Shifts

If a Caregiver has more than one back-to-back Shift on the same Service, as in a multi-day live in case, only the first one in the series will trigger a No Show warning. You may still want to require them to check in, but you won't have "false positives" in cases where a Caregiver is there on consecutive Shifts. For example, if a Caregiver works from Monday through Friday on a livein case, and they login on Monday morning, not logging in on Tuesday or Wednesday will not bring up a No Show warning.

Email and Text Message Notification

Besides warning you onscreen, Rosemark allows you to have automatic e-mails or text messages sent wherever you want. Whenever a scheduled Shift is without a login, it will automatically send an e-mail or text message to any addresses you've put into the Telephony Configuration screen. This e-mail/text message is very simple and to-the-point. It has a subject "No Show" and the body includes basic information about the shift: time & duration, Caregiver name & phone number and Client name & phone number.

If the Caregiver subsequently logs in, a second e-mail/text message will be sent. The subject will be "Shift covered"; the body will just include the login time, the scheduled shift time & duration and the Caregiver & Client names and the Service Type.

Skipping Individual Clients

You may have some Clients who, for one reason or another, you don't want to be included in the telephony checks. This can happen if you have very remote cases where there is no cell coverage or phone service, for example. If that is the case, you can "exempt" them by simply not having a strictly numeric entry in their Client # field.

 

For example, you could simply put N/A (or some variation of that) into that field to make it clear that they are not being checked for telephony logins & logouts. If you still want the number in that field, you could append a letter or two to the number: that will also exempt that Client from telephony checks. Put simply, as long as you have at least one non-numerical character in the field, the client will be exempt from telephony checking.

 

No-Show Warning Subject Format

It is possible to include other information with the no-show warnings. Besides the standard format above, an additional format is available that includes the client's ExtraID, First, Middle and Last Name in the subject in addition to either "No Show" or "Shift covered".
