Import Clients

You can import new Clients from standard .csv files. This makes it easy to bring in prospects from other sources, such as website form submissions and third-party prospecting services. In order to do the import, the format of the file must be correct, including the column headings which identify the fields by name. At this time, you can only import Clients from .csv files. We plan to add other import options including Referrers and Caregivers.

To begin, just go to the File menu and select Import from spreadsheet... then choose either Clients.

You will be presented with a dialog box so you can locate the file that contains the data you want to import.

Select the file you want to import. You can either double-click or click on the file and click Open. Note that, depending on your Windows settings, you may not see the ".csv" after the file name.

Once you've selected the file, Rosemark will go through the file and determine whether it's fit to import, presenting you with a little report that sums it up.

Format Requirements

The import file must use the column headings that match what Rosemark exports. For example, the first name column must be titled "name.firstName". They can be in any order, but they have to use the right names in order for Rosemark to understand what to do with them. Any columns that do not match will simply be ignored. The list of included fields can be found in the Client Import Fields section of the Import File Formats chapter.

Error Handling

Unrecognized columns will simply be ignored while the rest of the import goes forward. However, there are errors that would stop the import from proceeding. Those will be reported in a separate Errors section of the import confirmation report. For example, if a field is expected to have a date format and it doesn't, it will throw an error.

Notice that in the error example, the Actually Do Client Import button is not active. In order to proceed with the import you must first make corrections to the file itself, then re-try the import. Rosemark is trying to keep you from importing junk data!
