Exporting Shifts

Exporting Shifts allows you to generate Payroll and Billing information directly from your Verified Shifts.

For Payroll, this creates Time Events that can be added to an Employee's paycheck.

For Billing, these same time events can be added to a Customer's invoice. This works well if you only bill in arrears, and want to create one invoice at a time. In other words, if you bill only Shifts that have been Verified Complete. If you want to do billing in advance (for Assigned or Open Shifts), you must use the option of creating the Invoices themselves in Rosemark and exporting the Invoices to QuickBooks.

Starting the Shifts Export

To begin exporting Shifts, simply click on Do Shift Export on the QuickBooks Connection screen. This will begin the process, which will walk you through the steps. At each step in the process, the status of the process will be reported at the top of the screen, and you can view details of the step just completed by clicking on the Details button.

 

Note that you do not have to do a separate Employee and Customer Sync before Exporting Shifts. This step is automatically included in the Exporting Shifts process.

Confirm the Date Range for which you want to export shifts. It will default to the next pay period after the one you did the export for last time. You can change the Date Range as you like (including to re-export the previous pay period); in general, though, you can leave it to do the default Date Range.

Click Perform Preflight Check. This will do a preliminary sweep through the data to see what Shifts are to be exported and report any problems. If it does show that there are exceptions, click the View Exceptions button. It is best to clear up as many problems as possible BEFORE going ahead with the sync. In some cases, you may choose to proceed and come back later to do a sync, but be aware that this can cause problems if you have already processed that period on the QuickBooks side.

If you are satisfied that you want to export the shifts, click Do Syncs. This will perform Customer and Employee Syncs before exporting shifts. These parts of the operation are identical to the processes described in the sections Synchronizing Customers, Synchronizing Contractors and Synchronizing Employees. If there are Customers or Payment Obligations that need syncing (and there are no exceptions), click Do Customer Adds. If there are Contractors that need syncing (and there are no exceptions), click Do Contractor Adds. If there are Employees that need syncing (and there are no exceptions), click Do Employee Adds.

At this point, you have one last chance to review and resolve any exceptions by clicking on View Exceptions. If there are no exceptions, and you are ready to proceed, click Actually Do Shift Exports to complete the process.
