Rosemark uses Pending and Completed Actions to help you keep track of Caregiver Credentials. This is a special use of Actions, because it actually connects them with Credentials to maintain continuity. Whenever you put in a Done Date on a Caregiver Credential, a Completed Action is created with that date, with a Type of Credentials. Each time the Credential is updated in this way, a new Completed Action will be created. This gives you a history showing each time a Credential was completed. Something different happens when you put in an Expiration Date on a Caregiver Credential. Each Credential has one and only one Pending Action linked to its Expiration Date. This is specialized so that you can drive the update process either from the Caregiver's Credentials tab or from their list of Pending Actions. In fact, you can see that they are different because the Action form is a bit different: the Type is not changeable, there is an extra read-only label by the Comment, and the usual Completed checkbox and Add Followup buttons are combined into a single Complete and Follow-up button.

Changing that date from the Credential actually changes the date of the Pending Action to match, rather than creating a new one. A new one is created only if you go to that Pending Action and use the Complete and Follow-up button to process it. This marks the current one as complete, prompts for both the Done Date and Expiration Date and creates a new Credential Pending Action. Action Lists Right below the list of Caregiver Actions, you'll see two buttons: Done Actions and Pending Actions. These allow you to get right to the lists of Credentials Actions for this Caregiver. There, you can add further documentation and complete and follow-up Pending expirations.
Figure 138: Bringing up the Caregiver's list of Credentials Pending Actions Complete and Follow-up When you are ready to mark a Credential as Done and set the next Expiration Date, you can use the Complete and Follow-up button. This will open a date box so you can select the date the Credential requirement was met. Once you click OK you get a second date box to select the new date the Credential will expire. This process automatically updates the dates in the Caregiver's Credential tab. The Done date will be changed to the completion date you chose and the Expiration Date will be set to the 2nd date you selected.
The new Pending Action will be displayed, so you can add any notes or adjust the date. Notes on changing the dates: you can jump between months with the right-arrow and left-arrow buttons; you can change years by clicking on the year itself, then using the down-arrow and up-arrow buttons.
Figure 139: Using the Complete and Follow-up function to process a Caregiver's Credential Tracking Credentials You can see the Done Actions and Pending Actions for an individual Caregiver Credential using the buttons on the Credentials tab. To get a view of, for example, all the credentials for all Caregivers that are expiring in the next month, you would start from the Office menu, Pending Actions. This list will start by looking at all Pending Actions; you can narrow that down right away by changing the Type filter from -All Types- to Credentials. Change the date range as desired to only get those that you're interested in. That list can then be sorted by any column and previewed or printed. |
