Combined or Separate Invoices |
|
|
When a Client has multiple Services being paid by the same person, you can decide whether you want to include them on the same invoice or keep them on separate invoices. If the Services have different Customers (payers), of course, they will automatically be on separate invoices. Combined Invoicing By default, Rosemark will assume that you want them combined. In order to do this, it uses a Client Payment Obligation, which contains each of the individual Service Payment Obligations. All you have to do is add the Service Payment Obligation on the new Service and it will automatically join the existing one on the Client Payment Obligation.
Figure 212: Two Service Payment Obligations combined on a Client Payment Obligation Separate Invoicing If you DO NOT want them combined, check the Invoice Service Separately check box. That will remove it from the Client Payment Obligation and cause it to create a separate invoice, when it's time for billing.
Figure 213: Invoice Service Separately How it looks in QuickBooks Here is a picture showing a Customer list in QuickBooks. The difference between the two is circled: on the left, the Customer's jobs (corresponding to the Service Payment Obligations) are invoiced separately. On the right we see the same customer as she would look with combined invoicing. Notice that, when combined, QuickBooks displays a vertical bar next to the customer's name, indicating the presence of a combined Customer:job.

Changing between Combined and Separate Invoicing Once a Payment Obligation has at least one Invoice, it cannot switch to billing separately (or vice versa). This is necessary in order to keep good track of any adjustments that might be needed from a previous period. However, you can certainly change a Service by adding a new Payment Obligation as of a date and setting it appropriately. For example, lets say that you had been billing for a Service separately and now you want to combine it with others for this Client.
Once upon a time, Rosemark only provided for separate invoices. If you still have legacy Services that have been invoiced in the past and you want them combined, this is the procedure that will be needed. In those cases, there may also be some tidying up to do on the QuickBooks side. Please call Shoshana Technologies at 734-662-3537 or support@shoshana.com for help with this.
