Client Access to the Web App |

You have the option of allowing your Clients and their families access to the Web App to check their schedules. Once you enable access and give them a username & password, they will be able to check the schedule from any web browser or other web-enabled device whenever they want. This can be a very nice option for family members who are far away and who want to feel involved in the care of their loved ones. They can see who is scheduled to come and when, and they can check a past schedule to help them review their bill. This can have great benefit to the agency by improving the sense of control the Client and family feels while potentially reducing the amount of time your staff has to spend fielding scheduling calls. In order for a Client to have access to their schedule on the Web App, you must assign them a username and password (on their Info tab). At any time, you can revoke access simply by unchecking the Online check box. If they lose their password, you can reset it for them.
Figure 15: Client Web App access enabled Username By default, a username is filled in when you first enter the Client's name, by taking the first initial and last name (e.g. Jane Smith would be jsmith). The username must be unique among all persons in your database. When creating the default username, Rosemark will check that and change the name by adding a number after it, if necessary. Given our previous example, a new Client named Joan Smith would get a username of jsmith2. You can, of course, change the username to be whatever you (or the Client) would like, as long as it is unique. If you attempt to put in a username that is not unique, the system will warn you, telling you which person is already using that username. Password The password can be anything you like, but we recommend that you use strong passwords. A strong password is sufficiently long and random as to make it very unlikely to be guessed. A weak password is something that could be easily guessed or figured out by an acquaintance of the user, such as a birth date and pet's name. Very short passwords are also weak. Clients can change their own password on the Web App, so you can consider the password that you give them to be a temporary one. If a Client ever loses their password, you can simply reset the password by typing one in on the Info tab and saving it. Account Number This is your agency's account number with Shoshana Technologies. If you aren't sure what it is, just look at Rosemark login screen and you'll see it. You can also see it along the bottom of the main Rosemark screen, if you are logged in. If you still are unsure about it, give us a call. Security This feature enables Clients and their families to access only the bare minimum of information, yet it is still potentially sensitive information. Rosemark protects that access in a number of ways: 1) a Client must be granted access. 2) they must know their username and password (which you can revoke at any time). 3) If they are logged in for more than 10 minutes without activity, they will be logged off automatically. As with most systems, the weakest security link is usually people. While the security concerns are much less for Client access to the Web App than for Caregiver or Staff access to the Web App, here are a few tips you might share with your Clients and/or their family members who will have access: 1) Never share your username/password with anyone. 2) If you log in on a public computer (at a library, for example), you should clear the browser's cache and close it. Many such places are set to automatically clear the cache when the browser is closed, but clearing it manually is a good extra safeguard. If you don't know how, ask someone for help. Here is a link to show how to clear the cache on various browsers. 3) Never login when other people are with you at the computer. 4) Change your password as often as practical. Accessing the Schedule on the Web App A Client can get to their online schedule in one of two ways: from our main web page (www.shoshana.com) or via a link that you can send to them via e-mail. 1) Go to www.shoshana.com. In the bottom left part of the navigation pane, there is a place to enter the agency's account number. With the account number entered, click the Login button. 2) Edit this link, replacing nnnn with your agency's account number. https://www.shoshana.com/RMnnnn/app Then Copy and paste the link into an e-mail and send it to the caregiver. If you use this method, the Client will not have to type in the Account number. Client instructions 1) Follow the link to login. 2) Enter your username and password. Note: your username and password are case-sensitive.

If you are logging in directly through the Shoshana.com website, you will start by putting in the agency's account number in the box on the lower-left part of the main navigation screen.
Figure 17: Getting to the login from www.shoshana.com 3) Check your schedule. It will start with This Week, but you can look at any range you want by changing the drop-down date boxes. Note: it will only show Assigned, Verified Complete and Open Shifts.

Changing your Password To change your password, click on the Change Password tab. Type in your current password, then type in your new password (twice, for confirmation).
