Pending and Completed Actions can be very useful for keeping track of communications, tasks and other actions around individuals connected with your agency. All Actions have an Action Type, which gives you a way to categorize Actions. They will show up on a drop-down menu on each Pending or Completed Action that you create. With each Action categorized, you can use them for sorting and filtering lists of Actions. By setting up Action Types that match and enhance your work flow, you can make them even more useful and easy to manage. To setup Action Types, from the File menu, Configuration, select Action Type.
Figure 243: Configuring Action Types Each Action Type (shown in the list shown above) has a Name and a Description, as well as a read-only field showing how many Actions currently use that Action Type. To add a new Action Type, just click on the Add button and fill in the Name (Description is optional), then click Apply. To rename an Action Type, just click on it in the list then edit the name below. Once you hit Apply, this change will propagate to all Actions in the system that are using that Action Type. To remove an Action type, just click on it in the list and click the Remove button, if it is enabled. You can only remove an Action Type if it is not in use by any Actions and it is not one of the special fixed Action Types. These fixed types are Action (the default for an "uncategorized" Action) and Credentials (used in the Credentials-tracking part of Rosemark). If you want to remove an Action Type that is in use, you will need to open an Action List (e.g. Office->Pending Actions), filter for that Action Type, then either delete the Actions or change their Action Types to something else. Once they are all gone, you can remove them. |
